Making tender management
easier to understand
B2B platform for managing tenders and workflows

Overview
Making tender management easier to understand
TenderHub is a platform that helps companies manage tenders and vendors in a structured and transparent way, submit proposals, and collaborate within a single system.

Looking at how others solve this
Before sketching a single screen, I looked at a handful of tender, freight, and procurement platforms already on the market โ comparing how different teams structured bidding, vendor matching, and status tracking, and testing a couple of them hands-on as a real user.

CONSTRUCTION BID MANAGEMENT ยท US
A Kanban-style bid pipeline (Saved โ Estimating โ Bidding โ Submitted โ Won) keeps every active bid visible at a glance. Vendor cards carry a "Preferred" badge, and full contact details sit behind an upgrade prompt โ a monetisation layer I chose not to copy.

PUBLIC TENDERS ยท ALGERIA
Every listing carries a live countdown that shifts colour as the deadline nears, and submitting an offer happens inside a timed modal showing the lowest bid for context. Vendor profiles require document verification before they can bid.

LOCAL TENDER MARKETPLACE ยท AZERBAIJAN
I registered and tested this one directly. Sign-up asks you to pick a role upfront โ contractor, buyer, or seller โ before anything else, shaping the whole account experience from the first screen.
TendrX
FREIGHT & TENDER MARKETPLACE
Lets you organise vendors into custom named groups with a match-score per carrier, rather than relying on a single follow list โ a more flexible way to track who you actually want to work with.
Problem
Understanding tender processes felt unnecessarily difficult
Tender processes are fragmented and inefficient due to disconnected tools and manual workflows โ no centralized system, poor communication, complex document handling, lack of transparency.
Lack of transparency
No centralized system
Complex document handling
Poor communication

Key Insights
What the research told us
~4 hrs average time spent managing a single tender round manually
3/4 vendors receive no feedback after losing a tender bid
68% of procurement teams use email as their primary tender tool
2x longer average tender cycle without a dedicated system
User Journey
Understanding the tender journey
We mapped the tender lifecycle โ from draft to award โ to see where friction, waiting, and manual re-work showed up for companies and vendors alike.
01
Draft
Friction
Every new tender meant re-uploading the same documents from scratch.
Opportunity
A streamlined form captures tender details and attachments in one place.
Impact
Faster tender creation, with less manual re-entry.
02
Published
Friction
Browsing available tenders and managing your own needed different information.
Opportunity
Cards for quick discovery when browsing, a sortable table for tracking what you've published.
Impact
Vendors find relevant tenders faster; companies track active ones without digging.
03
In Review
Friction
Comparing vendor bids meant juggling files in different formats, with no shared sense of where each one stood.
Opportunity
Colour-coded status badges and version history make every tender and bid easy to track at a glance.
Impact
Clearer visibility into where each tender and bid actually stands.
04
Awarded
Friction
After submitting a bid, vendors often heard nothing back โ not even a rejection.
Opportunity
Contextual status banners on the bid page confirm the outcome the moment a decision is made.
Impact
No more silent waiting โ vendors always know where they stand.
Ideation
Exploring interface directions
I explored multiple layout directions focused on balance visibility, transaction context, and workflow clarity. Each concept tested different approaches to grouping financial information, simplifying navigation, and helping users scan important details faster.

Exploring different dashboard concepts focused on hierarchy, transaction visibility, and clearer everyday financial workflows.
01
Dashboard overview
Explored a structured table for scanning and managing multiple tenders at once.
02
Card-based browsing
Tested a card grid for quickly discovering and comparing available tenders.
03
Detail-focused view
Structured a dedicated view around a single tender, with status and context always visible.
Communication
Keeping tender conversations in one place
Poor communication was one of the original problems โ companies and vendors chasing updates over email and phone, with no shared record. Messaging was built directly into the platform, tied to the relevant tender and contact.

Every conversation lives in one inbox, searchable by participant or tender.

Status updates surface as notifications โ a tender gets approved, a teammate joins the team,
a new update goes live โ so nothing gets missed outside the inbox.
